Executive Assistant (m/f/d)

The Executive Assistant will provide proactive and professional support to one or several members of the Executive Management Team, to ensure the smooth management of their day-to-day duties, organising administrative tasks in order that the Senior Vice President (SVP) Technical Operations can spend maximum time on strategic tasks.  The role will be seen as a highly credible team member becoming familiar with strategic priorities and will take responsibility for actions where appropriate.


Your responsibilities

  • A first point of contact, monitoring, screening and dealing with correspondence and phone calls 
  • Managing diaries and organising meetings and appointments.  Prioritising competing commitments and allocating sufficient preparation time for each meeting, highlighting urgent matters and ensuring deadlines are diarised to ensure stakeholders and clients are treated fairly at all times
  • Booking and arranging travel, transport and accommodation
  • Organising events and conferences
  • Compiling and preparing reports, presentations and correspondence
  • Liaising with colleagues, suppliers and clients
  • Collating and filing expenses
  • Miscellaneous tasks to support the SVP’s, which will vary according to the SVP’s remit
  • Support the SVP Technical Operations, and other SVP’s as required, in organising their diaries, inbox management, arranging travel, liaising with key internal and external stakeholders, expenses management, document preparation (word / excel / powerpoint).
  • Support the SVP’s in Project management of their organizational initiatives such as driving and documenting results
  • General storage/document management
  • Cost center monitoring (planning, target/actual, budgets incl. headcount, travel cost budgets, holiday provisions)
  • Support management in budget planning processes


Your profile

  • Proven experience working in a similar role in the data center industry or critical environment is essential. Be prepared to ‘roll up your sleeves’ and have previous proven experience to ‘pick up and run’ with a variety of tasks, thereby building long term relationships
  • Customer focused and self-motivated, with a strong work ethic and the ability to work independently and as part of a team.
  • Proven ability to multi-task and work well under pressure, committed to providing quality service i.e. timely, error-free work
  • Excellent organisation with strong time management skills
  • Ability to maintain own continual professional development.
  • Proficient in the use of IT tools such as Microsoft Office suite, SharePoint, etc. 
  • Fluent in German, desirable
  • Attention to detail, Problem solving
  • Confident communicator with excellent writing skills 
  • Commercial awareness, Ability to work in a team
  • High resilience and assertiveness, Handle confidential information
  • Undergo full security checks to BS7858:2019 (UK) and/or equivalent security checks in Germany
